Ghost Note — Privacy Notice

Effective October 11, 2026

Ghost Note helps production teams manage job schedules, crew assignments, rates, working hours and production contacts.

Information used

We use your sign-in identity, including your name, email address and account identifier, to authenticate you and determine which jobs you can access. We store information you and your collaborators add to jobs, such as crew contact details, assignments, dates, rates, hours, production contacts, billing instructions and activity history.

Sharing and service providers

Authorized job collaborators can access job information according to their permissions. Project links may display basic job information before sign-in. Exporting or sending a schedule shares its contents with the recipients you choose. Calendar subscriptions expose calendar information to anyone who has the subscription link; keep that link private. Ghost Note uses Google Firebase for authentication and hosting infrastructure provided through OpenAI Sites and Cloudflare to deliver the service and store job records.

Optional Gmail access

If you connect Gmail, Ghost Note requests permission to send messages on your behalf so you can send schedules and PDF attachments to selected contacts. The current integration does not request access to read your inbox. Messages are sent when you use the Send action. Connection credentials are encrypted on our server so we can refresh Gmail access and keep it connected across sessions. Disconnecting removes those credentials from active use. You can disconnect Gmail in Ghost Note or revoke access in your Google Account.

Device storage and records

Ghost Note uses browser storage for preferences, cached information and pending edits. Job records and activity history may remain available after a job is wrapped or archived. Removing access or clearing a device does not recall copies of schedules or emails already shared with others.

Requests and contact

For questions, corrections, or requests to remove account or job information, contact brad@ecto-grip.com. Please avoid adding sensitive payroll documents, tax identifiers or banking information to ordinary job notes.

This notice should be updated when Ghost Note's data practices change.
